FX Trade Workflow
Overview: This will be the full process for requesting a currency exchange for the Treasury Team to complete
Scope: This SOP applies to all employees and departments throughout the business arranging a FX Exchange.

Step 1: In your Outlook account, you will receive the FX request from the client:
Step 2: Locate the contact account and email within HubSpot:
Step 3: Within the contact, Click “+ Add” on the right hand side bar under the Ticket association
Step 4: Populate the Ticket information and create Ticket record*
*The compulsory properties to complete are:
- Ticket Name (use the Naming convention document here as guidance)
- Pipeline – Treasury FX (make sure you select the correct Pipeline)
- Value (Currency FX)
- From (Currency FX)
- To (Currency FX)
- Ticket Description (you can copy and paste the contacts email)
- Brands (select Voly Yachting)
- Asset (please make sure you associate the correct Asset for this request)
Step 5: Ticket Creation
Once the ticket has been created, go into the ticket and PIN the original email. This will help the Treasury Team identify the source of the request
Step 6:
The Treasury Team receive a HubSpot notification that a FX Request has been processed. This will be sent via email and Teams within the channel Treasury & Payments x CRM > Treasury x CRM! Group (only available to view by the Treasury Team).

Step 7:
Treasury Team review the request, referring to the pinned email within the ticket and the “Treasury & FX” Card down the left side bar for the correct information.
Step 8:
The Treasury team perform the FX Exchange on the relevant partner portal
Step 9:
Once the Treasury Team complete the FX exchange, they update the stage from Request to Complete
Step 10:
Account Manager notified of Treasury ticket completion
